PROPOSAL DECOR POLICY

Please note this applies to all our Proposal Packages

We are so grateful you’ve chosen Pink Room to create magic for your special occasion! To ensure smooth operations and mutual understanding, please carefully review our policies below before booking.

Booking & Deposit Requirements

  • A 50% non-refundable deposit is required at the time of booking to secure your reservation.

  • This deposit will be applied toward your total balance.

  • For bookings made within 72 hours or less of the setup date, a $60 late booking fee will apply.


Cancellation & Refund Policy

  • You may cancel within 24 hours of placing your deposit to receive a full refund.

  • After the 24-hour cancellation window, deposits become non-refundable.

  • You may reschedule your booking to a new date (subject to availability) without an additonal fee if done at least 48 hours prior to your scheduled setup.

  • If your preferred reschedule date is unavailable and you choose not to rebook, the deposit remains non-refundable.

  • If you cancel your booking without rescheduling, no refund will be issued.​

No-Shows & Delays

  • If we are collecting a key from you and you arrive more than 20 minutes late, a waiting fee of $10 per 15-minute interval will be applied (if we are able to wait, depending on our schedule).

  • No communication after 20 minutes of delay will be considered a no-show and cancellation — no refunds will be provided. Once we leave the location due to a no-show, the appointment is canceled with no refund.

Accommodation Requirements

  • Any arrangements related to hotel policies, bonds, or permissions (e.g., adding Pink Room) to the guest list) must be completed prior to our arrival.

  • If we are refused service upon arrival due to unresolved hotel issues, the booking may be canceled without a refund.​​

  • In cases we may encounter limitations such as high ceilings, which could prevent installation of certain items, our ceiling balloons (non-helium) are not refundable if they cannot be installed due to ceiling height.

  • Once your setup is complete and photos/videos have been sent, no refunds will be issued.

  • We are not responsible for any decorations that become displaced after we leave the location.

Out Door Events

  • Outdoor proposal setups are limited to 1 hour of use from the completion of setup.

  • If you would like to extend the duration of your outdoor setup, an additional fee will apply. Please inquire in advance for extension rates.

  • If your chosen outdoor location requires a permit, it is the client’s responsibility to obtain it.

  • Pink Room does not provide or obtain permits on behalf of clients.

  • The required permit must be secured prior to our arrival. If a permit is not obtained and we are unable to complete the setup, no refund will be issued.

  • For setups involving our heart arch, we will return to collect it the following day.

  • For hotel or indoor setups: Please ensure we are given access 45 minutes prior to your checkout time to allow safe and timely pack-up of all equipment.

  • Please notify your accommodation in advance and ensure our team can access the room for pack-up.
